We apply reasonable security measures appropriate to the nature of the personal data and the risks involved, in line with the Protection Obligation under Singapore's Personal Data Protection Act (PDPA). These measures are designed to reduce the risk of unauthorized access, collection, use, disclosure, copying, modification, disposal, and loss of personal data.
We process personal data for the purposes described in this Privacy Policy. For customer data processed on a merchant's behalf, the merchant determines the purposes and provides the necessary notices and lawful instructions. AISaleBot's responsibilities as a data intermediary depend on the processing performed and the applicable agreement. Processing for our own purposes remains subject to our applicable PDPA obligations.
We use HTTPS/TLS to protect data transmitted to and from the Service. Application-level encryption using Fernet symmetric encryption is implemented for chat message content and associated metadata in our conversation storage, as well as document content and supported metadata processed through our encrypted storage components.
Merchant data is organized by account and data source. Authentication and authorization controls help restrict access and separate information between stores.
AISaleBot does not retain merchants' original document files after processing. Uploaded files are used to extract content and generate vector embeddings. Once processing and embedding generation are successfully completed, the original files are deleted from upload storage and are not kept as a document archive. Extracted content, metadata, and embeddings may remain in the knowledge store to support chatbot responses. If support requires an original document after deletion, AISaleBot personnel must ask the merchant to provide it again.
Storage and processing locations depend on the deployment environment and connected service providers. Information about the locations applicable to your service configuration is available upon request.
We do not share customer data with third parties without a signed Data Processing Agreement (DPA). Relevant data may be processed by hosting, AI, and merchant-enabled integration providers. The applicable arrangements must define processing purposes, confidentiality, protection responsibilities, and assistance with incidents and data requests. A DPA alone does not establish compliance. Transfers outside Singapore must meet the PDPA Transfer Limitation Obligation, including a comparable standard of protection through applicable legally enforceable obligations or other permitted mechanisms.
We will cease retaining personal data, or remove the means by which it can be associated with individuals, when it is reasonable to assume that its original purpose is no longer served and retention is no longer necessary for legal or business purposes. Retention decisions must cover uploaded documents, extracted content, embeddings containing personal data, conversations, logs, and backups. Contact us for applicable retention periods and deletion scope; account closure or source deletion does not by itself establish that every backup or provider copy has been erased.
Contact contact@aisalebot.io to request access or correction, withdraw consent, or raise a data protection concern. We may verify your identity and authority. We will explain the likely consequences of withdrawal and cease the relevant collection, use, or disclosure unless continued processing is required or authorized by law. Visitors to a merchant chatbot should contact the merchant first; we will assist within our role and applicable agreement. Requests are subject to applicable legal exceptions.
Report suspected incidents to contact@aisalebot.io. We will investigate, contain the incident, and assess its impact. When acting as a data intermediary, we will notify the relevant merchant without undue delay when we have reason to believe a personal data breach has occurred. Where we are responsible for assessment, we will assess expeditiously whether notification is required. If a breach is determined to be notifiable, we will notify the PDPC as soon as practicable and no later than three calendar days after the day of that determination, and notify affected individuals as soon as practicable where required. This is not a blanket three-day deadline from discovery for every incident.
